A BIM project kickoff establishes the working agreement before modelling begins. It aligns the team on information requirements, standards, tools, processes and responsibilities. Skip or rush this, and the project spends months recovering from misalignment — different coordinate origins, conflicting naming, missing CDE access, unclear ownership. This checklist ensures nothing critical is missed.

Purpose of this checklist

Use this checklist to prepare for and conduct a BIM project kickoff. It covers documentation, infrastructure, process agreement and team readiness. The goal is a project that starts coordinated — not one that discovers alignment problems at the first federation.

When to use this checklist

  • New project start — before any discipline begins modelling.
  • New party joining — when a discipline or external provider enters mid-project.
  • Phase transition — when moving from concept to detailed design, or design to construction.
  • Process reset — when coordination problems require re-establishing the baseline.

Kickoff meeting agenda

The kickoff meeting should cover the following, with time for questions and clarifications:

  1. Introductions — who is who, what role, what discipline.
  2. Project overview — scope, programme, key milestones.
  3. Information requirements — what is needed, why, when.
  4. BEP walkthrough — key sections, responsibilities, processes.
  5. Coordinate system and model structure — demonstrate and confirm understanding.
  6. CDE demonstration — access, states, folder structure, file upload.
  7. Coordination process — cadence, clash workflow, issue tracking.
  8. Open items — unresolved questions, actions needed before modelling starts.
  9. Next steps — first coordination date, first model upload deadline.

Post-kickoff actions

  • Circulate meeting notes and action log within 24 hours.
  • Confirm all parties have CDE access working.
  • Verify coordinate acquisition by each discipline (test file upload and federation).
  • Close any open items from the meeting before first coordination cycle.
  • Schedule first coordination meeting and issue agenda.

FAQ

How long should a kickoff meeting be?
Typically 2–3 hours for a full kickoff with multiple disciplines. Shorter for single-party onboarding. Allocate enough time for questions — rushed kickoffs create confusion.
What if parties cannot attend?
Essential parties (BIM manager, discipline leads) must attend or delegate with authority. Record the session and require absent parties to confirm understanding before they begin work.
Should we kickoff before the BEP is final?
The BEP should be sufficiently complete to guide work — draft is acceptable if key sections are agreed. Do not wait for perfection, but do not kickoff without clarity on coordinates, naming, and process.
What if coordination problems emerge later?
Revisit the BEP, responsibility matrix and kickoff agreements. If the issue is misunderstanding, clarify and document. If it is process failure, address the process. A re-kickoff may be needed after significant scope or team changes.
