External BIM Delivery Partner Evaluation Checklist

Not all BIM providers are the same. This checklist helps you tell the difference.

This is a delivery-method resource, not project-specific design. Electrical protection, cable sizing, cooling capacity, fire strategy and structural loads require the appointed designers and the applicable codes. Selecting an external BIM delivery partner is not procurement of hours — it is selection of capability, process maturity and integration fit. A staffing approach asks how many Revit seats. A managed-delivery evaluation asks what scope, under what QA, with what accountability. This checklist provides a structured framework for that evaluation.

Purpose of this checklist

Use this checklist to evaluate potential BIM delivery partners before engagement. It covers capability, process, experience, security and integration. The goal is to identify partners who can deliver defined scope under your BIM manager's direction — not to certify or rank vendors, which requires project-specific judgment.

Scoring guidance

Score each item on a simple scale (e.g. 0 = not met, 1 = partially met, 2 = fully met). Weight categories based on project priorities — for a high-security client, weight security higher; for a complex MEP project, weight capability and process higher.

  • Use the checklist consistently across all evaluated partners.
  • Document evidence for each score (proposal text, interview notes, reference feedback).
  • Review scores with the evaluation team before final decision.
  • The checklist informs judgment — it does not replace it.

Red flags

Watch for these warning signs during evaluation:

  • No DC or high-density MEP experience — only commercial fit-out or residential.
  • No defined QA process — QA is your responsibility after delivery.
  • Rotating or unnamed staff — no single point of contact.
  • Data security policy absent or vague — files on personal machines, no audit trail.
  • Resistance to onboarding to your BEP — wants to use their own standards.
  • Hourly billing with no scope definition — staffing model without accountability.
  • Cannot provide verifiable references — or references are from unrelated project types.

FAQ

Is this checklist exhaustive?
No. It covers common evaluation criteria. Add project-specific items (e.g. specific software requirements, regulatory compliance, language needs) as appropriate.
Should we require ISO 27001 certification?
Depends on project sensitivity and client requirements. ISO 27001 is a credible signal of security maturity but is not always mandatory. Assess the provider's actual practices, not just certifications.
How do we verify DC experience?
Request reference projects with verifiable contacts. Ask specific questions about congestion, coordination cadence, equipment types. Generic claims are easy; specific experience is harder to fake.
What if no provider meets all criteria?
Evaluate gaps against project risk. Some gaps are manageable (e.g. limited DC experience with strong general MEP skills and willingness to learn). Others are disqualifying (e.g. no QA process, no data security).
